Checklist Management
Introduction
Section titled “Introduction”The Checklist feature allows you to create and manage task lists (to-do) for Maintenance and Procedure actions in 4HSE. This tool serves as a detailed reminder for operators, ensuring that every step of a prevention or control action is completed.
Once defined, each item in the checklist represents a task to be checked off. Completion is possible directly from the action recipient’s window.
Creating and editing checklists
Section titled “Creating and editing checklists”Creating and editing checklist templates is possible from different points in the interface, associated with action details.
Access methods
Section titled “Access methods”You can access the checklist editor:
- From the detail view of an action, by clicking the Create Checklist button in the toolbar.
- By right-clicking on an action and selecting the Checklist option from the context menu.
The checklist editor
Section titled “The checklist editor”When accessing a checklist from an Action (e.g. Fire Extinguisher Inspection or Machine Maintenance), the interface is displayed as an editor. The goal is to define or edit the standard model of operations to be performed. Changes are applied to all future checklists created from that action model.
Users with the role of Project Administrator or Project/Office/Functional Area Manager can:
- Create new items;
- Edit existing items;
- Reorder items to optimize the workflow;
- Delete items.
Once the content is defined, the template is ready for use.
Completing checklists
Section titled “Completing checklists”After the template has been defined, the checklist can be completed by operators during the execution of a specific action session.
Access to completion
Section titled “Access to completion”To complete a checklist, you need to access the relevant action session (e.g. Lathe Maintenance – Parallel Lathe 2m – 15/07/2025). Access can occur:
- From the detail of the Action Session Subscription;
- Or, more quickly, through the Checklist from the Schedule function.
Checklist from the Schedule
Section titled “Checklist from the Schedule”This function allows you to access and complete checklists directly from the Schedule. The Create Checklist button, available in the toolbar, is active only when a row related to a Procedure or Maintenance action is selected.
Workflow:
- Select the row in the Schedule corresponding to the due action of interest;
- Click the Create Checklist button;
- Specify the date on which the session to be recorded in the checklist took place;
- The system checks for sessions already recorded on the selected date, allowing you to choose an existing session or create a new one;
- The checklist associated with the selected session opens.
Interaction with the checklist
Section titled “Interaction with the checklist”During the completion phase, the interface displays the checklist items with their corresponding checkboxes. The user can:
- Check off completed tasks;
- Add their signature.
In this mode, it is not possible to modify, add, or reorder items. The checklist document can be printed.
