Get a worker compliant
In this tutorial you take one worker from “registered” to “compliant, with an expiry date”. It is the shortest path through the whole of 4HSE, and every step is a piece you will use again for every other obligation.
Before you start
Section titled “Before you start”An office with at least one person in it — see Your first office and your first people.
We will use training as the example. The same sequence works for health surveillance, maintenance, PPE and procedures: only the names change, and the correspondence is in Terminology by action type.
1. Create the obligation
Section titled “1. Create the obligation”In the office, go to Actions → Training → Courses and create the action: a general safety course, for example.
Then set its validity — how long a certificate lasts before it has to be renewed — and the notice period.
What you have made is a need: this course exists here, and it expires.
2. Say who it applies to
Section titled “2. Say who it applies to”Add the worker as a recipient.
Look at their status: New. It means the obligation applies to them and nothing has been done about it yet. Nothing you can click will change that status directly — it is derived, see Statuses.
3. Say why it is required
Section titled “3. Say why it is required”In Requested by, link the resources that make the course necessary: the job, the work phase, the equipment.
This step is optional, the course works without it. It does, however, connect the obligation to the risk it mitigates, and what lets the course count as a measure in the risk assessment.
4. Schedule the delivery
Section titled “4. Schedule the delivery”Schedule a session — an edition, with its date — and enrol the worker in it.
The enrolment starts as To be completed.
5. Record what happened
Section titled “5. Record what happened”After the course, record the outcome as passed.
6. Issue the certificate
Section titled “6. Issue the certificate”This is the step that changes everything: the certificate carries the expiry, and from it 4HSE recalculates the worker’s status from New to Valid.
7. Open the scheduler
Section titled “7. Open the scheduler”Open the scheduler. The worker is there, with the expiry of the certificate and the status Valid — and they will turn Expiring by themselves when the notice period you set in step 1 begins.
What you have achieved
Section titled “What you have achieved”One worker, one obligation, one proof, one expiry that looks after itself. Everything else in 4HSE is this cycle repeated: for a medical examination, for a PPE delivery, for a maintenance job, for a procedure to review.
What changes is only the vocabulary — and one page translates it.
